Progress Report Checklist:

  • Make sure you have a clear definite conception of the progress which is to be done over the job or project you are supervising. Ensure there are definite plans on the scope of work, tasks to be completed, schedule to follow, and other requirements, along with related success criteria;
  • Identify matters that you need to keep abreast of while observing a progress. For example these could be performance indicators such as compliance with quantifiable standards and indicators on work success factors, such as degree of adherence to schedule, budget and quality level;
  • Create effective methods to capture or derive the desired data, and procedures for collecting and systematizing this data as necessary for the purpose of reporting. You, as a supervisor, will need to wield certain controls for analyzing and qualifying the actual progress through comparing it against the success criteria (for example):
    • Special reports submitted by responsible executives;
    • Self-reporting made by employees;
    • Reviewing official documents;
    • Using workflow control systems;
  • Design or think of the progress reporting chain: learn how many of functional and managerial levels it includes and what kind of data each of these levels is supposed to consume.

For example, a financial reporting data, prior to getting into hands of the project manager, may need to pass through hands of the financial department’s specialists who adapt this information to be understandable for a person who is not a qualified expert in this sphere;

  • Compose adequate progress reporting forms or sheets to be continually used for communicating the desired sets of information gradually from one level of management to another, according to their specific needs (someone will be need “raw” technical information, while others demand a more adapted version);
  • If the reporting chain includes more than one level, then establish a procedure for confirmation (by concerned executives) of the fact that a reported data has properly passed through their levels. Verification and confirmation of reported data on each level of the chain, before it goes upper, will make the responsibility for its adaptation owned by specific executives who can be addressed in a case of some troubles;
  • Make all the involved supervisors recognizing the established system of the progress reporting rules, so no fails can happen on the chain because of someone’s incomprehension;
  • Create guidelines and methods to get the received data properly...
