Debrief basics:

  • Identify the purpose and objectives pursued by debriefing the project participants. Usually these purposes include:
    • Finding out detailed opinions and suggestions on different aspects of the project;
    • Clarifying what and how have been performed in terms of details (which are out of the scope of a traditional project monitoring practice);
    • Asking employees to appraise and characterize their experience received at the project;
    • Enriching “lessons learnt” with more input from all project participants;
    • Finding out opportunities for improvement and changes in future project structure;
  • Identify whom your debrief effort is addressed to (who should answer its questions);
  • Identify what information you need to collect to satisfy the purpose and to reach objectives;
  • Identify how the debrief practice should be conducted:
    • Questionnaire (debrief form) to be self-reported by selecting Y/N answers;
    • Interview conducted by a questioner who explains questions and interprets answers;
    • Open-ended questions stimulating respondents to give more extended answers;

  • Technical component of the project:
    • Opinion or report on innovations invented and used;
    • Opinion or report on quality and appropriateness of technologies and equipment used;  
    • Suggestions and assumptions on technological aspects of the project;
    • Opinions and suggestions on tools and other machinery operated;
  • Organizational component of the project:
    • Appropriateness of administrative controls and leverages used;
    • Appropriateness and correctness of team building and leadership methods established;
    • Responsiveness and competency of the project manager, functional managers, etc;
    • Opinion and suggestions on qualities of team environment and collaborative rules set;
  • Human Factor across the project:
    • Appraisal of professional level of other team members;
    • Appraisal of human qualities and soft skills of other team members;
    • Appraisal of external personalities and collaborators (partners, customers, etc);
    • Appraisal of interpersonal aid provided by the team leaders;
  • Performance-related component of the project:
    • Appropriateness and suitability of benchmarks and standards applied;
    • Appropriateness and suitability of remuneration and recognition methods applied;
    • Transparency and fairness of procedures established for performance appraising;
    • Appraisal of objectivity shown by managers and experts;
  • Logistic component of the project:
    • Opinion and remarks on how rationally and smartly the processes were organized;
    • Appropriateness and suitability of transportation and routing arranged;
    • Appropriateness of work shifting and employee scheduling;
    • Effectiveness of maps, flow-charts and other logistic sources used;
  • Safety and risk component of the project:
    • Appropriateness of safety and risks-mitigation policies applied;
    • Opinion and remarks on suitability of equipment used...
