About Task Saturation:

  • Task saturation is what all of us may face while working in a challenging environment. It can be considered as a synonym of being overworked, but it is even more serious:
  • Task saturation is when the summary impact of all tasks which we need to do at the moment is so strong, that our capability to properly cope with them decreases rapidly (we become saturated with the tasks), so we cannot perform any one of these tasks proficiently enough anymore, and we become disoriented and confused.

  • Conception of task saturation is usually applied to characterize behaviors of people who have to act in extreme situations with intensive flow of incoming information: military pilots, operators of complicated machinery facing extreme conditions, medical personnel, etc.
  • In modern business environment, when corporations are trying to obtain more and more out of fewer people, task saturation becomes a pending business problem meaning that people have too much of work to handle, but not enough of time to get it done smoothly, hence they suffer from being overloaded, stressed and multitasked.

 Symptoms of Task Saturation:

  • Shutting Down: it is our innate protecting mechanism to escape from a complicated situation, just to try taking a break, to shut down, to flee out of stressing conditions whether mentally or physically. It is ok when you have a plenty of time, but when the situation is extreme you cannot just go away from it. Not performing in a tough situation can only make it even worse.
  • Compartmentalizing: people try to organize the chaotic situation by ignoring the essential part of things happening around: they shut down from the pressing conditions by focusing on one thing at a time. They create to-do lists, act in a linear manner, completing and ticking off items one-by-one. They look busy, but they ignore the bigger picture endangering the company. They try to put upcoming issues into some kind of sequence and when a new task is knocking at the door they say: “just wait until your turn!”
  • Channelizing: people having this type of reaction don’t create any system, they just concentrate their attention and efforts at some task they consider as the most important one. In other words all their potential gets absorbed in one exclusive thing, while other tasks are ignored or failed.

Tools to fight Task Saturation:

  • Checklists: Effective way to minimize thinking when performing some typical tasks, including emergencies, is to train the staff to act according to well-elaborated procedures and workflows. Create special checklists stating the optimal action plans to be used when dealing with repetitive tasks or issues, and train people to adhere these workflows without a need to think additionally.
